Admin users for the Cyncly account will need to complete the steps below to activate and setup Flex for all users within the company.
Admin task: Activation
- Log in to the Admin user's Cyncly account.
- Under Manage Subscriptions & Products, click on the Activate button:
- Once activated you will see a message Update successful appear.
Note: this will activate the product for all users on this account.
Admin task: Flex Company settings
Once you have activated Flex in the Cyncly account you will need to sign in to Design.
Note: If you are not prompted to input your log in sign out of the session so the change made in the Cyncly account can be implemented to Design Live.
Once you have logged in, the first window you will see is on the Flex platform. Please ensure you complete the tasks below so that all users can immediately access and start using Design Flex
Company Settings
The Company details will be brought across from the Cyncly account. Ensure that all the details are up to date. In the Settings tab ensure your currency is correct and add your logo.
Under Contact settings select if you would like the contacts and users separate per showroom or if there is one master list that all users will be able to access.
Save any changes that you have made.
Admin task: Setting up showrooms
There will be a showroom called Default showroom created for you. Follow the steps below to update this:
- Select the showroom in the list and click Edit showroom in the top tool bar.
- Make any changes necessary, change the name, check the address, add contact information and assign a Main Contact Person for the showroom .
- Add any other details for a delivery address, select a showroom logo (if this is different to your company logo) and, check currency settings.
- When you are happy with the details select Save showroom in the top tool bar.

Admin task: Setting up Users
In the Users tab you will see all the users assigned to your company in your Cyncly account. If you have created additional showrooms you will also see these here. To ensure levels of access to the different areas of Flex it is advised to set User roles before assigning them to the users.
To give the user access to the Admin area in Flex select the toggle System admin. Under the name of the showroom the default will be No Access. Follow the steps below to give access to the showroom.
- Click on the No Access tab under the showroom you wish to give the user access to.
- From the drop down menu select the level of access for that user in that showroom.
Note: Once you have created a new level of access in User roles these will be shown in the drop down options.
Admin task: Setting up User roles
User roles is where you create a group which defines roles for the users of the Flex platform. For example a sales person and a manager would need different types of access.
Follow the steps below to create a new user role.
- Click Create New Role on the top toolbar to begin.
- Enter a name you will recognize into the Role Name box.
- Tick which sections of the Flex platform this user role provides access to. The main areas are:
Contacts, if you check this box there are options of Can view or Can edit
Projects, if you check this box there are options of Can view or Can edit
Other users projects, if you check this box there are options of Can view or Can edit
Documents, if you check this box there are options of Can view or Can edit

Usage logs
Note: To restrict access to a component, leave the box unticked.
- Click the Save role icon.
How activation affects your user interface
- When a user launches the program and logs in, it will open in the Project Board screen of the Flex platform. Click here for more information.
- A Flex icon will be in your File menu.
- A Flex documents icon will be on your Home ribbon.
How to deactivate Flex
Having had a look around Flex, you may wish to deactivate it temporarily while you complete a design in the desktop app. Once activated, Flex can only be deactivated within the Design Live desktop app. as follows:
- In the File menu select Preferences.
- In the Preferences list select Flex Preferences.
- You can then untick the Enable Flex checkbox to switch Flex off.
- To switch Flex on again go to File > Preferences > Flex Preferences and tick the checkbox.
NOTE: when you make a change to Preferences, you need to close and reopen the program for the change to take effect.
